CleanSlate AI, LLC ("CleanSlate," "we," "us," or "our") operates the hirecleanslate.ai website and the CleanSlate AI platform (the "Service"). This Privacy Policy explains how we collect, use, disclose, and protect information when you use our Service.

1. Information We Collect

Account Information

When you create an account, we collect your name, email address, phone number, business name, and business address.

Crew Member Information

Business owners add crew member data including names, phone numbers, preferred language, skills, hourly rates, and availability. Crew members interact with the Service exclusively via SMS and do not create accounts.

Client and Prospect Information

The Service stores client contact information (name, phone, email, company name, address) and prospect information collected through SMS conversations including space type, size, frequency, and cleaning requirements.

SMS and Communication Data

We collect and store all SMS messages sent and received through the Service, including message content, timestamps, phone numbers, and conversation metadata. Voice calls to the business number are redirected to SMS.

Payment Information

We use Stripe to process subscription payments and client invoice payments. We do not store credit card numbers. Stripe's privacy policy governs the handling of payment card data. Business owners who connect their bank accounts for receiving client payments do so through Stripe Connect's hosted onboarding.

Usage Data

We collect information about how you interact with the Service, including pages visited, features used, timestamps, IP addresses, browser type, and device information.

Location Data

Business and location addresses are geocoded (converted to latitude/longitude coordinates) for scheduling and routing features. Crew member clock-in locations may be collected when location-based features are enabled.

Uploaded Documents

Business owners may upload contracts, floor plans, logos, and other documents. These files are stored securely in our cloud infrastructure.

2. How We Use Your Information

We use the information we collect to:

  • Operate and maintain the Service, including AI-powered crew management, shift scheduling, lead qualification, and client communications
  • Process subscription payments and client invoice payments
  • Send SMS messages on behalf of your business to crew members, prospects, and clients
  • Generate proposals, invoices, and reports
  • Provide customer support
  • Monitor and analyze usage to improve the Service
  • Comply with legal obligations

3. AI Processing

The Service uses third-party AI language models to power autonomous operations including crew communication, lead qualification, shift management, and document processing. SMS conversations and relevant business data are processed by these AI services to generate responses and take actions on behalf of your business. The AI operates as an agent ("Ace") on behalf of your business. Your data is not used to train AI models.

4. Third-Party Services

We use third-party service providers in the following categories to operate the platform:

  • Cloud hosting and infrastructure providers - Application hosting, database, and file storage
  • Communication delivery services - SMS delivery via Telnyx
  • AI processing services - AI language model APIs for powering autonomous operations
  • Payment processing - Stripe for subscription billing and client invoice payments
  • Email delivery services - Transactional email for invoices, proposals, and notifications
  • DNS and security providers - Domain management and security

Each third-party service has its own privacy policy governing its handling of data.

5. SMS and TCPA Compliance

The Service sends SMS messages to crew members, prospects, and clients on behalf of your business. By using the Service:

  • Business owners consent to receive operational SMS notifications (shift updates, escalations, daily digests) and agree to obtain appropriate consent from their crew members and clients before adding them to the platform.
  • Crew members are informed of SMS communication when they are added by their employer. Crew members may opt out at any time by replying STOP to any message. Opting out is immediate and irreversible unless the crew member requests to re-subscribe. Reply HELP for assistance.
  • Prospects who initiate contact by texting or calling the business number consent to receive SMS responses and follow-up messages. Prospects may opt out by replying STOP.
  • Clients who receive invoices, notifications, or quality check-ins via SMS may opt out by replying STOP.

Message frequency varies based on shift schedules and business activity. Message and data rates may apply. We do not sell SMS opt-in data or phone numbers to third parties.

6. Data Sharing

We do not sell your personal information. We share data only in the following circumstances:

  • With third-party service providers listed above, solely to operate the Service
  • With Stripe Connect for processing client invoice payments, where payment data is shared between your business's connected Stripe account and the paying client
  • To comply with law, such as responding to a subpoena, court order, or government request
  • To protect rights and safety, including enforcing our Terms of Service and protecting against fraud
  • With your consent, such as when you choose to share proposals or invoices with clients

7. Data Retention

We retain your data for as long as your account is active. If you cancel your subscription, we retain your data for 90 days to allow for reactivation, after which it is permanently deleted. SMS conversation logs are retained for the duration of the active subscription. You may request deletion of your data at any time by contacting us.

8. Data Security

We implement industry-standard security measures including:

  • Database-level tenant isolation ensuring strict multi-tenant data separation
  • Encrypted data in transit (TLS) and at rest
  • Secure authentication with session management
  • Webhook signature validation on all inbound communications
  • AI security measures to prevent misuse
  • Audit logging of all AI-initiated actions

No method of transmission or storage is 100% secure. We cannot guarantee absolute security.

9. Your Rights

You may:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Export your data
  • Opt out of SMS communications (crew members and prospects: reply STOP)

The Service is not intended for individuals under 18. We do not knowingly collect personal information from children.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on this page and updating the "Last Updated" date.

12. Analytics and User Experience

We partner with Microsoft Clarity to understand how you use and interact with our website through behavioral metrics, heatmaps, and session replay to improve our products and services. Website usage data is captured using first and third-party cookies and other tracking technologies to determine the popularity of products and services and online activity.
